Payroll/Tax Accountant

POSITION SUMMARY

The Payroll/Tax Accountant reports to the SVP, Client Accounting & Financial Services. Responsibilities include: managing MedHQ’s payroll accounting function, ensuring compliance with government regulations, internal accounting reporting, and company policy. The scope of this role includes responsibility for developing procedures to optimize and manage the preparation, documentation, and disbursement of all payroll liabilities, payroll tax, Health Savings Accounts, Flexible Spending Accounts, and 401k fund transfers. This role will be responsible for the day-to-day accounting aspects of the payroll function, and ensure service delivery measured by key performance indicators.

PRIMARY RESPONSIBILITIES

  • Provides leadership and guidance to client leaders and staff in goal setting, Responsibilities include weekly payroll bank imports and managing positive pay files for manual checks
  • Monitoring Payroll and Accounting platform synchs and correcting errors and reconciliations
  • Working with the Controller on GL entries and corrections.
  • Responsible for Health Savings Accounts and Flexible Spending Account entries to the bank and GL
  • Reconcile Payroll Accounts on Balance Sheet
  • Prepare schedules and reconciliations to support general ledger balances and bank reconciliations.
  • Produce monthly, quarterly, and annual financial statements and budget for actual variance analysis
  • Responsible for headcount reporting, payroll modeling, and analysis
  • Cost reporting and budgeting reviews
  • Adjusting entries on all facilities, including accruals
  • Prepare various payroll and management reports, journal entries, worker’s compensation, and worker’s compensation audits.
  • Responds in a timely and professional manner to all audit requests from workers comp, 401k, internal and year-end audit, corporate compliance, and tax authorities.
  • Leads and resolves balance notices from tax jurisdictions.
  • Completes special audits, as required, by government, corporate, or compliance request
  • Assists with accruals and payroll journal entries as necessary for proper posting in Sage Intacct
  • Assists with month-end close and reconciliation reports as needed
  • Prepares accruals, reconciliations, and analytical commentary for payroll liabilities/provisions; maintains supporting documentation for auditors; with work papers in auditor and executive-ready formats with easy-to-understand content and traceability back to the general ledger.
  • Prepares Federal, state, and local tax returns for business entities, many with a high degree of complexity, consuming over 70% of the months of January, April, July, and October while balancing other responsibilities.
  • Prepares and analyzes tax accounts, records, and reports; and determines taxes owed according to prescribed rules and regulations.
  • Confirms that the company complies with periodic tax payments, information reporting, and other taxing authority requirements.
  • Other taxes – e.g., franchise, modified business, and state income taxes projects, multiple acquisitions, and assignments as needed.

EDUCATION

  • Degree in Accounting or Finance from an accredited university.
  • CPA preferred.

CANDIDATE QUALIFICATIONS/EXPERIENCE

  • Minimum of five years of experience in payroll accounting, with one year in a healthcare organization a plus
  • PEO experience is a plus.
  • Expertise in multi-state tax filings and quarterly payroll tax reporting.
  • Knowledge of computer systems, spreadsheet and financial systems programs, applications and governmental regulations.
  • Budgeting, preparing financial reports, and computer applications.
  • Exercise initiative, judgment, discretion, and decision-making to achieve organizational objectives.
  • Establish and maintain effective working relationships with client administrative staff.
  • Skill in identifying and resolving tax reconciliation issues.
  • Ability to work creatively with management and department staff to achieve objectives.
  • Ability to communicate effectively with all levels of management.
  • Experience in a high-volume environment
