Driving Efficiencies in Accounting & AP Automation

For the last few years, MedHQ has been moving toward digital transformation to benefit both MedHQ and its healthcare clients. In a series of blog posts, we will outline some of the digital processes and systems we use to secure sensitive data and streamline operations to drive success for our clients.

Adel Rekowski, Staff Accountant and Project Controller, shares how MedHQ is implementing accounting and accounts payable (AP) automation solutions to improve efficiency and productivity to better serve healthcare clients. Rekowski works on the financial side of MedHQ providing accounting, payroll, payroll taxes, accounts payable, and PEO registrations services.

“I’ve been around this business environment for many years, and I remember when the only option was manual, handwritten processes for doing payroll or registering new hires,” said Rekowski. “Now, we have digital tools, like Sage Intacct, PrismHR and other tools for AP Automation, payroll tax processing and employee expense automation. Because of these we can accomplish our clients’ accounting goals in much less time with less risk of making an error. With more available time, we can focus on developing relationships with our clients and making sure we’re meeting their needs.”

MedHQ uses software that allows Rekowski and her team to tailor accounting services to the specific priorities of different healthcare providers. They are revenue cycle professionals and prepare reports that provide an up-to-date, accurate picture of each facility’s financial state.

“Organization and transparency are both very important in the financial systems we use for our clients,” she said. “We can add data to a client’s file, import it to our accounting system, and produce detailed financial reports. It’s quick and easy to review, so if we see errors or discrepancies, we can drill down into the details and find the problem. Or with AP automation, multiple users can capture, code, approve, and export invoices quickly. It saves so much time without sacrificing security or accuracy.”

“Document storage is also a key component within the AP automation software,” mentioned Rekowski. “Document storage is the digital image of invoices that are captured within the system and used to, review invoices, create transactions, and submit those transactions for further approval if needed. This document management system prevents any guesswork as to what has been entered into the system, and provides greater organization, clearer visibility, and a more efficient process.”

Digital transformation within MedHQ’s accounting systems has been a steady and ongoing progress. Rekowski said she is constantly looking for ways her team can improve the services they offer clients.

“We are committed to providing the best resources and expertise to our clients,” finalizes Rekowski. “This means thoroughly and repeatedly testing new systems internally with our staff – expense reporting or accounting or AP automation – before we roll it out to our clients. This ensures that any question a client has is met with the best possible solution.”
